Document Management Project

Can You:

... imagine retrieving or updating a personnel or legal file to take care of a customer or complete important research without ever getting out of your chair?

…imagine completing a recruiting process without having to make multiple copies, retrieve multiple signatures and wait for interoffice deliveries to occur?

…imagine monitoring the progress of a certain process without having to leave messages, chase down possible “bottlenecks” or conduct a search and rescue expedition to find the original document?

…imagine an escalation process that would tell YOU when certain actions aren’t taken within a desired timeframe instead of waiting for an unhappy customer to call?

The CMS Office is coordinating a search for a Document Management and Imaging solution that will make this a reality.  The mission of this project is to modernize campus business systems with technologies required to automate business processes and advance toward a paperless work environment that improves efficiency, productivity and ultimately the quality of services delivered to our core customers: students, faculty and staff.  Initial phases will include conversion of existing files of physical documents with an eye to automating business processes connected to the HCM 8.9 Upgrade Project.

We originally released a Request for Proposal (RFP) on November 13, 2006 with proposals due by December 12, 2006. Due to a discrepancy in the language used in Exhibit #3, “Disabled Veteran Business Enterprise (DVBE) Participation Requirement”, of the original RFP, we have chosen to publish a new version. This “re-bid” RFP that will guide the selection process was released March 15, 2007 with proposals due on April 12, 2007.  Stay tuned to the CMS website for updates on this exciting project. Interested in reviewing the RFP? Check it out here.
