Accounting has announced that the month of July 2006 (FY 2006, accounting period 1) is now officially closed in PS Finance. This means that no more entries will be posted to this period, so it should be stable for reporting purposes.

Submitting HUMGL015 reports

We’ve been seeing bottlenecks recently in PS Finance processing. The HUMGL015 report (sqr) specifically is having sporadic performance problems; and when more than one is submitted, it tends to clog up the queue and prevent other sqrs from running. While we work on the performance issues, we’d like to ask that users help us out by observing the following items of ‘queue etiquette’:

  1. Please don’t submit more than one job to run at a time, so that you leave slots open for other users to execute their processes. This is especially important when submitting HUMGL015 reports. (We may experiment with settings that allow us to enforce this rule; and, we reserve the right to cancel processes that seem to be impeding progress for all.)
  2. When submitting reports and watching for their completion, please use the Process Monitor link rather than the Report Manager link to do your viewing. This way you can be informed of the actual executing status of your process. When you simply sit and wait for our report in Report Manager, you may be tempted to resubmit a report that isn’t showing up in the repository, when it is actually still in Processing state; and this will only hinder the completion of your processes.

Are online requisitions slowing you down? Would you like to know the quickest route to prepare an online requisition? Attend the Online Requisition Refresher Class on Thursday, August 17 at 2pm in the CMS Lab or on Friday, August 25 at 9:30am. This class is for the enduser who already knows how to enter a requisition online, and will offer the simplest way to accomplish the job. PeopleSoft Finance training for the new user is scheduled for Tuesday, August 15 at 9:30am and again on Tuesday, August 22 at 2pm. Have your new staff attend to receive an overview of the finance module, inquiry pages and reports, and on-line requisition training.

HUMGL015 status

Please be aware of the following changes in the HUMGL015 Transaction Detail reporting objects in PS Finance:

  1. Report. The HUMGL015 report (humgl015.sqr) has just been modified to correctly handle encumbrance journals. This type of activity occurs at year-end, and was erroneously showing up in ACTUALS dollars. It was also correctly showing up in ENC dollars, but without complete descriptions. Both of these issues have now been fixed in the sqr report under Humboldt Reports & Processes.
  2. Queries. The HUMGL015 queries in Query Viewer (all queries containing ‘HUMGL015’ in their title) have not been updated with the above change. Users are reporting, and we are experiencing, even more problems than usual with the Query product timing out on these large and complex queries; and we are starting to look in earnest at both short and long term alternatives to this vehicle. Users of the HUMGL015 queries could help us out by emailing me to say why they use the queries rather than the report: is it to get data in Excel format (and for what purpose, then?), or because the queries can run more than one period at a time, or….?
