Email Aliases for HSU Faculty and Staff

Information Technology Services has implemented a new service which assigns an HSU email account an alias of firstname.lastname@humboldt.edu. This email address alias will be referred to as your Formal Email Alias. In addition, you can choose to create up to two additional Informal Email Aliases.

By default, ITS has already assigned your Formal Email Alias using your first and last name from the Banner database. All email sent to, firstname.lastname@humboldt.edu will be sent to your preferred email address. For example, Jon.Doe@humboldt.edu is sent to jqd7001@humboldt.edu, Jon's preferred email address.

You have the option to change your Formal Email Alias if your formal name is not the name you use. You also have the option to choose a preferred email address other than your HSU email address. All of your HSU email will be sent to this preferred address. Instructions follow.

Confirming Your Preferred Email Address and Formal Email Alias

  1. Log on to the WebReg.
  2. Enter your HSU ID number in the User ID box.
  3. Enter your 6 digit PIN. If this is the first time you have accessed this site, your default PIN is your birth month and year (mm/yyyy). If this is the case, you will immediately be required to change this PIN and set up a forgotten PIN question and answer.
    If you have previously logged on and changed your PIN but have forgotten it, enter your HSU ID number and choose the Forgot PIN? button. You will be asked to answer your question and supply a new PIN.
    In the event you cannot remember the answer to your question, you can choose the Generate PIN button and a NEW PIN will be emailed to you.
  4. After successfully logging in, choose the Personal Information link.
  5. Choose the Update Email Addresses & Aliases - Faculty/Staff only link.
  6. Make sure your Preferred Address is set to a valid account that you have access to, as all mail addressed to your Formal or Informal Email Alias will be sent to this preferred address.
    Note: Your Preferred Address can be any account you choose including a non-HSU account such as a yahoo.com account.
  7. Scroll down the page and verify that your current Formal Alias is in fact your firstname.lastname@humboldt.edu. In the event your formal name is Jonathan and you go by Jon, you can change your Formal Email Alias by contacting the Help Desk at 826-4357.
  8. You can choose to create up to two Informal Email Aliases. They must be HSU addresses ending in @humboldt.edu. Informal Aliases are assigned on a first come first serve basis and must not conflict with existing addresses and aliases. You may change or delete these aliases at any time. Changes may take several hours to take effect. Please verify that this address works before distributing it to others.
    Note: Please be aware that once you change or delete an alias, it will be "up for grabs" by someone else. If you have given the alias to others as an email address and then delete it, mail sent to the alias will be returned to the sender with an undeliverable error until someone else re-uses the alias.
  9. When finished, select the Exit link in the upper right corner of the page and then close the browser to ensure security.

Personalized Email Alias Usage Restrictions

The use of Humboldt State University's Personalized Email Address service is a privilege. This privilege may be revoked at any time for creating an alias which reflects negatively on the University or which may convey inaccurate or inappropriate information to the recipient of an email message. An example could be an email alias that is created which implies the sender represents an office of the University or holds a position with the University that he or she does not hold.
