Zimbra Connector for Outlook

With the Zimbra™ Collaboration Suite Connector for Outlook (ZCO), users can use Microsoft® Outlook® 2003 and 2007 to access the Zimbra Collaboration Suite server and synchronize data with Outlook for offline use.

Email messages, address books, tasks, personal calendars, and tags are synchronized with the Outlook 2003/2007 client.

Important Notes:

If users used Rules, Notes or Journal in Outlook, these items will be LOST when the ZCO is installed. In order to keep their Notes and Journal entries, users should save these Outlook items in pst format before syncing and then import the pst file after the initial sync is performed.  Rules must be recreated to apply to new emails.

Mail that is in Outlook prior to installing the ZCO will TEMPORARILY disappear after the installation is complete.  Instructions for displaying this mail in Zimbra are below.

Client computers must have Microsoft Office Outlook 2003 SP1 or later installed. See Microsoft’s support article http://support.microsoft.com/?id=823633.

Hide/Show Screen Shots

Install the ZCO

  1. Close Outlook
  2. Run ZimbraOLKConnector.msi
  3. Welcome Screen: click Next
  4. click "I accept the terms in the License Agreement"
  5. Click Next.
  6. Confirm Installation screen: click Next
  7. When the installation is complete, Installation Complete dialog displays
  8. Open Outlook and complete the Zimbra Server Configuration Settings dialog as follows:
    • Server Name: mail.humboldt.edu
    • Server Port: 443
    • Check: Use Secure Connection
  9. Enter the email address in the Email address field and the password in the Password. The address should be entered as abc123@humboldt.edu.
  10. Click OK and the installation and configuration of ZCO is complete. The Zimbra profile is created.

Restore old mail

  1. In Outlook, click File > Data File Management
  2. Click Add
  3. Select "Office Outlook Personal Folders File (.pst)
  4. Click OK
  5. Navigate to where your PST file is stored (typically it is in the default window that opens)
  6. Select your PST file
  7. Click OK
  8. Rename "Personal Folders" to "Local Mail"
  9. Click OK
  10. Click Close

Your "old" mail will still be in folders under "Local Mail" and your new mail will show up under "Zimbra".  All of your "old" mail is stored locally on your computer and will not be visible if you use the Zimbra Web Client (webmail.humboldt.edu).  If you need webmail access to a message, you should drag that message to your Zimbra inbox.

Final Steps—Initial Sync

Log on and use Outlook. The first time you work within Outlook’s mail, calendar, tasks, or contacts folders, Outlook automatically syncs with the Zimbra server. If you have been using the Zimbra Web Client and have email messages, tags, address books with contacts, and calendar appointments on the Zimbra server, this information is synchronized with their Zimbra profile in Outlook. The initial synchronization can take a few minutes.

Final Notes

With the default Zimbra profile, synchronized files are saved in the zimbra.zdb file located in your Local Settings\Application Data\Microsoft\Outlook folder. In Outlook 2007, this data is stored in the your Application Data\Microsoft\Outlook folder.

Users can click Tools>Send/Receive>Send/Receive All (shortcut key F9) to update Outlook and the Zimbra server with changes made since the last sync.
