Official Transcript Requests

You may order official transcripts either by fax, mail, or in person. Transcript requests cannot be accepted by phone or email.

Incomplete requests will delay processing and may result in your request being returned. Please ensure that you have included all of the required information on the form and that you have enclosed adequate payment for the service(s) you are requesting.

Avoid delays in processing by providing the following information on the Official Transcript Request form:

    • STUDENT'S SIGNATURE and date (this is the student's authorization to release the records to the designee)
    • Your current legal name (and all prior names used while attending HSU)
    • Your full address and phone number
    • Date of birth
    • HSU Identification Number / Social Security Number
    • Dates of attendance at HSU (indicate any breaks in attendance, if applicable).
    • Whether to mail now or hold your request until the current term's grades or your degree posts
    • Full address of agency, college, or individual to whom transcripts are to be sent
    • Complete mailing addresses are required (and phone number for overnight delivery)

To help speed up the processing time of your request, it would be helpful to update your mailing address in the Web Information System

Submit your transcript request by Fax

Transcript request forms will be accepted by fax. Payment must be made online prior to faxing the form. Please include proof of payment with your transcript request by entering the CashNet Receipt Number and date on the transcript request form.

Fax your transcript request form to 707-826-6194.

Credit card payments can only be made online. Do not include a credit card number with your request.

Submit your transcript request in Person

Students may request a copy of their transcript by completing a transcript request form available from the Academic Information & Referral Center (SBS 133) or online. Payments may be made in person at the Student Financial Services Office (SBS 285) using cash, check, debit card, money order, or certified funds.


 

Unofficial Transcript Requests

For students having only attended HSU since June 1991

Student records were computerized summer semester 1991. If you only attended HSU since this date, follow these instructions to access a printable copy of your unofficial transcript:

        • Log into WebReg*
          *If you do not have a PIN to access WebReg, please contact the AIR Center for assistance at 707-826-4101, M-F between 8amand 5pm PST.
        • Select "Student Services"
        • Select "Student Records"
        • Select "Academic Transcript and/or Summary of Transferable Credit (SOTC)"
        • It is not necessary to do so, but you may change the options in the dropdown menus before clicking "Submit"

For students attending HSU at any time prior to June 1991

Student records prior to this date require copying from record cards or microfilm. To request an unofficial copy of your transcript from this period, fill out an Official Transcript Request form and mark out the word Official and replace it with the word UNOFFICIAL. One copy of this record will be provided at no charge.


Request  to have your UNOFFICIAL transcript faxed

Only an UNOFFICIAL copy of your transcript can be faxed

Due to issues with security paper features and fax resolution, only an unofficial copy of your transcript can be faxed. To request a fax copy of your unofficial transcript, fill out an Official Transcript Request form and mark out the word Official and replace it with the word UNOFFICIAL. One copy of this record will be provided at no charge.

** Overnight Mailing is only available with expedited handling. Addresses must be to the 48 contiguous states (No Alaska, Hawaii or overseas). A destination phone number MUST be provided along with a street address.


 

Payment Options

Online Payments

To pay online follow these steps:

  1. Log into WebReg*
    *If you do not have a PIN or attended HSU before 1991, please contact the AIR Center to have your WebReg account enabled at 707-826-4101, M-F between 8am and 5pm PST.

    Select "Student Services" link
  2. Select "Make Payments"
  3. Select the current term from the dropdown menu and "Submit"
  4. Scroll to the bottom of the page and select your method of payment.

Online payments can be made:

  • with an E-Check — withdrawal of funds directly from a checking account
           FREE there is no charge for using an E-Check
  • with a credit card through the CashNet SmartPay system — MasterCard, Discover, and American Express ONLY — No VISA

    A 2.9% convenience fee will be added to your transaction to cover the cost of          processing when using the CashNet SmartPay system

Once an online payment has been made, you must still submit a transcript request form via fax or mail.

Faxed request forms

Transcript request forms sent via fax must be paid for online. Please include proof of payment with your transcript request by entering the CashNet Receipt Number and date on the transcript request form.

Mailed request forms

For a convenient way to make a quick payment, you can pay online and enter the CashNet Receipt Number and date on the transcript request form. You can also send payment with your request by including a check, money order, or other certified funds.

Credit card payments can only be made online. Do not include a credit card number with your request.


 

Processing Time

Your transcript request will be processed and mailed out in 7-10 working days after arriving in our office. Expedited (RUSH) Handling requests will be processed and mailed out in two working days after arriving in our office. Because of the volume of requests received at the end of each semester, transcript processing may take up to six weeks to process because of end of term grades and degree posting.

Transcript requests are processed on a first-come, first-served basis.



Additional Information

What makes an official transcript OFFICIAL

For a transcript to be considered official, it must:

      • Remain sealed in its envelope
      • Be printed on security transcript paper
      • Carry the signature of the university registrar and university seal

All transcripts sent from HSU are considered official unless an unofficial copy has been requested.

Unofficial transcripts are simply copied onto regular white paper and do not carry any type of official markings.

What is included on an official transcript

A copy of your transcript includes:

      • If you have taken the Graduate Writing Proficiency Exam (GWPE) and passed, this will be stated (but not the score)
      • Degree(s) awarded, major and minor (certificates of study are not included)
      • Transfer credit from other institutions accepted by HSU. Only the total number of credit hours accepted is indicated. Transcripts of transfer credits must be requested directly from the institution that awarded the credit.
      • All courses taken and attempted at HSU and grade awarded
      • Student standing each term
      • GPA for each term and institute totals

Email or other forms of electronic requests for transcripts (other than FAX) ...

ARE NOT ACCEPTED. Transcript requests require the signature of the student. For this reason, email and other electronic requests are not accepted, including those with an electronic/digital signature. Request forms must be sent via fax, mailed to our office, or delivered in person.

Holds on your records

Your request will not be processed if you have any outstanding financial or administrative obligations to the university. These must be cleared before your records can be released.

All transcripts on the form will be sent out at the same time

There is an option on the form to have transcripts held and sent at a later date (after grades, after degree posts, etc.). If you desire to have a transcript sent now and another copy sent at a later date, you MUST make two separate requests.
