Introductory Letter

The Introduction should accomplish the following:
- Describe the purpose of the survey
- Explain how the survey recipients were selected
- Indicate that participation is voluntary
- Stress the importance of the recipient’s input
- Thank the recipient in advance for their time and effort
- Put the respondent at ease about the legitimacy of the survey
- Suggest how the subject matter is important to the respondent
- Indicate who will have access to the data and that the survey data is confidential
- Describe how the results will be used
- Emphasize the importance of complete and accurate answers
- Provide contact information for questions about the survey
- Estimate how long it will take for the respondent to complete the survey
- Clearly explain what to do to submit the completed survey
- Finally, provide instructions for completing the survey and describe any unusual conditions that will be
encountered in completing the survey
- If using telephone surveys or face to face surveying, ask for permission to do the interview during the introduction.
