Google Apps Tips :: Sharing Calendars

If you shared your calendars in Zimbra, you'll need to reshare them in Google Apps. Once you've moved your Zimbra Calendars to Google, you can follow the steps below to recreate your shared calendar arrangements. If you prefer, you can watch the video tutorial Calendar Sharing.

1. Log into Zimbra

2. Click the Calendar tab.

3. Right-click on your primary calendar ("Calendar"). You'll need to repeat these steps for every shared calendar.

4.  Click Edit Properties

5. A window will open, showing under Sharing for this folder who you 've shared this calendar with and the access levels or permissions they have. In the example below, abc123 is a Manager, which means they can make changes to your calendar. Blg10 can only View your calendar, and bjt7001 is an Admin who can make changes to your calendar AND share it with other people.

6. Open a new browser window and log into Google Apps. You will want to have both windows open at the same so you can compare the settings, so your screen should look something like this:

7. In the Google window, click the Calendar link at the top left of the screen.

8. Click the arrow next to the calendar you want to share. Your primary calendar has a name that looks like your email address (demo@humboldt.edu in the example below).

9. Click Share this Calendar.

10. Scroll down to the Share with specific people section.

11. Refer back to your Zimbra sharing list and enter the email address of first person you want to share this calendar with.

12.  Enter the permission settings you want to apply for each person. In this example, abc123@humboldt.edu was a Manager, so you should give them Make changes to events permissions.

13. Click Add Person.

14. Repeat steps 11-13 until you've added all the people you want to share this calendar with.

15. When you're done with this calendar, click Save to return to the main Calendars screen.""
If you have additional calendars to save, repeat steps 3-13.
