Computer Device and Printer Purchases for Staff and Faculty
ITS offers and supports business class models with standard configurations for new computer device purchases, which meet the majority of computing needs for faculty and staff in offices, labs, research facilities, and classrooms. New computer purchases should be one of these configurations or models listed in the accordions below. If these configurations do not meet your computing requirements, adjustments can be made for legitimate business purposes including but not limited to grant and research use. ITS will provide a quote for departments to submit a requisition using the supplier’s punchout (e.g. Dell, CDWG, B&H) listed under "IT/Electronics" in CSUBuy Procure-to-Pay (P2P). If a technology-related item is not listed on the recommended equipment and accessories page or to request a quote for a computer, laptop, tablet, printer or multi-function device (Lanier/Ricoh MFD), please submit a Help Desk ticket and select the topic "Technology Purchase and Quotes". Please note computer device purchases submitted without an ITS quote may be rejected in P2P.
Warranty
ITS requires Dell laptops and desktops to include a 5-year warranty with onsite, next-business-day coverage. Accidental damage protection is required for Dell laptops and is bundled with Dell’s Pro-Support+ coverage. Apple devices are required to have a standard 4-year AppleCare+ warranty, which includes accidental damage protection for unlimited incidences. All Apple devices include device enrollment (DEP), which allows ITS to manage your Apple device. All other devices including printers would be covered by their standard manufacturer’s (HP, Lanier/Ricoh etc.) warranty.
Sustainability
ITS recommends hardware systems at Cal Poly Humboldt meet the EPEAT Gold rating, whenever possible. For more information, please visit the Electronic Product Environmental Assessment Tool (EPEAT) website. ITS can help assess products that meet this goal, and can help recommend a product that is not available with a Gold rating.
In an effort to be sustainable, used items, which still meet campus standards and are under a current warranty, are occasionally available from ITS. If you think a used item might meet your needs, please note that in your Help Desk ticket. Cascading, trickle-down, or repurposing of current hardware is highly discouraged and not recommended. Our approach is to refresh or replace computer devices over 5.5 years old and/or out of warranty with a new system. Refurbished units are not recommended, and do not meet systems standards.
Time to Receive Purchases
Apple and Dell purchases typically take two to three weeks to arrive on campus. A number of factors impact the time of arrival (CPU or memory shortages, pre-built vs custom-built configurations, general availability of the market, global supply chain issues, weather events, etc.). An estimate of delivery date is typically provided once the order is placed.

Printers
There are several types of printers that can be requested: an office copier (Multi-function printer), a networked printer, and a desktop printer. Office copier printers and networked printers require an available network (ethernet) port.
Office Copier
ITS centrally manages the Office Copiers or multi-functional devices (MFD) which provide departments with self-service, multi-functional Ricoh or Lanier machines that copy, print, scan, and fax, which are supported by Pacific Office Automation, formerly Western Business Products and CPH's standard MFD vendor and service provider. Campus participants are provided with toner, staples, and full-service maintenance, as well as the equipment itself from Pacific Office Automation. Charges are on a per-page basis and can be charged to the department monthly etc. Office copiers are the least expensive option for printing at Cal Poly Humboldt. Most commonly used and ITS supported, standard Lanier IM C3010* with color copying, scanning, and printing including paper feed unit and internal finisher for collation and stapling is estimated at $7806.28 plus tax. *Does not include a fax unit.
Networked Printer
A networked printer allows departments or work groups to all access a central printer that may have functions that exceed, or complement, the standard Office Copier, such as color or special paper sizes. Adding a new networked printer on campus involves several steps and multiple ITS teams working in coordination. ITS can assist in coordinating the necessary work.
There are several steps and requirements to introducing a new printer to campus:
- An active network port must either exist in the desired location or be added (network charges will apply)
- The printer needs to be purchased, set up, and plugged into the network
- A "Static IP" will need to be assigned to the printer
- A Print Queue will need to be created on the Print Server
- Workstations need to be configured to see/use the new printer for both Macs and PCs
There’s no cost for printer set-up, static IP, print queue set-up, or workstation set-up. The department will be responsible for purchasing the printer and any supplies (toner and paper) or repairs. If a new network port is required there will be an associated charge by TNS.

Desktop Printer
Desktop printers are for individual, stand-alone use and need to be plugged directly into an office computer. This option is the most expensive printing option and is strongly discouraged, but may be appropriate for some business processes. Please open a Help Desk ticket to request a desktop printer including the business process(es) and use case that requires a desktop printer.
