Bus Reservations
Facilities Management coordinates the rental of buses and vans for University field trips. All buses are rented by the mile ($2.80/per mile), and must be driven by a University driver, so additional hourly charges will apply to these vehicles ($35.58/hour for bus driver).
Van Reservations
Vans are rented for University field trips by faculty/staff/students when buses are either not available or not appropriate.
Faculty/Staff/Student van drivers must pass a DMV background check and successfully complete the “Defensive Driver Training” in CSULearn prior to picking up van keys. Each driver must show documentation of successful completion of the required training/background check in order to pick up keys.

- FM does not have the resources to provide van drivers
- All damages not covered by insurance will be the responsibility of the department. Current supplemental insurance deductible is $1000.
- Gas tank refill fee - There will be a $100 fee applied for each van that is not returned with a full tank.
- All road tolls/fees are the financial responsibility of the Department.
- Van pickups must be scheduled with the FM vehicle coordinator at least 2 weeks in advance.
- Department drivers are responsible for obtaining proper authorization to drive from HR. Keys will not be issued unless the driver is pre-authorized through HR. Only authorized drivers are given keys and allowed to drive.
- Van rentals start with key pickup. After-hour rental returns are allowed via the key-slot on the FM building.

When the form is completed, you will receive an email confirmation of your request submission. If an advisor authorization is required, the listed advisor will be emailed the details of your request and asked to provide confirmation that this trip is authorized. All requests will receive a confirmation email once a reservation has been made.
If you cancel your plans, please let us know immediately. A cancellation fee for bus requests (3 hour minimum bus driver fee) will apply if Facilities Management is not notified 48 hours or more before the scheduled trip. A cancellation fee for van requests of $50/van will be applied for trips canceled 48 hours or less prior to the scheduled pickup time. Motor Pool Vehicles are in high demand during some weeks, so please plan ahead in making your reservation requests. We appreciate your understanding and cooperation during weeks of high activity.
