Community & External Space Reservations

Cal Poly Humboldt seeks to respond to community needs and the needs of the general public by sharing its resources and facilities for purposes that promote the mission and values of the University when it is mutually beneficial and when not needed for University programs and its activities. Organizations without University affiliation may use Cal Poly Humboldt facilities for charitable, civic, community, cultural, or educational activities which are operated on a not-for-profit basis. University facilities shall not be allowed for political fundraising activities or for personal or private gain.

The availability of campus facilities for use by organizations without University affiliation shall be subject to the needs and the convenience of the University. In the event of conflicting demands for use of facilities by organizations without University affiliation, scheduling priority shall be given to those activities that further the purposes and are in the best interest of the University.

Community Event Planning Steps

Fill out an Application 

Submit your Lease Application at least 30 days before the first date of your event.

A Conference & Event Services (CES) team member will respond within two business days. We may contact you for additional information needed to prepare your event quote.

You may submit an application for campus space at any time. Some spaces have priority scheduling agreements with academic departments, Athletics, or other campus programs. CES can begin reviewing and planning your request, but the space cannot be guaranteed or confirmed until the applicable confirmation date below.

Provide Insurance

Submit a Certificate of Insurance (COI) that meets the following minimum coverage requirements:

  • General liability coverage: $1,000,000 per occurrence
  • General aggregate coverage: $2,000,000

Approve Quote
Review and approve the event quote provided by CES. The quote is an estimate. Final charges will be based on actual services, usage, and documented costs.
Sign Lease

Sign and return the lease and required insurance documents to spacerentals@humboldt.edu.

After all required documents are received, CES will prepare the fully executed lease and send you a copy. You may begin advertising your event after you receive the fully executed lease.

Payment
CES will issue an invoice after the event based on the final charges. Payment is due according to the terms of the lease agreement, typically within 30 days of the invoice date.

Campus Space Request & Confirmation Guide

Planning ahead? You are welcome to submit an Application for Lease for campus spaces at any time. Some campus spaces are subject to priority scheduling agreements. CES can review your request and begin planning in advance, but we cannot guarantee or confirm those spaces until the applicable confirmation date shown above. Submitting a request before the confirmation date does not guarantee availability.

Note: Confirmation dates indicate when CES may begin confirming requests after department priority scheduling. All requests remain subject to actual space availability, event requirements, campus policies, and any applicable priority holds.

Summer Events (June/July) can be submitted any time but will be evaluated on a case-by-case basis, depending on space, labor, and resource availability.
