Asset Management
Asset Management supports Cal Poly Humboldt’s responsibility to safeguard, track, and report on University and auxiliary organization property in accordance with California State University (CSU) policy, federal requirements, and campus procedures.
We maintain the University’s official asset records and oversee the full lifecycle of property—from acquisition and tagging to inventory, transfer, and disposal. This includes capitalized and sensitive equipment.
Our responsibilities include:
- Tagging and recording newly acquired assets
- Maintaining the University’s asset management system and official records
- Coordinating physical inventory activities and supporting audit requirements
- Processing asset updates, including moves, transfers, and disposals
- Managing surplus and disposal processes in accordance with campus policy
Asset Management works in partnership with campus departments to ensure accurate recordkeeping, accountability, and compliance, while providing guidance and support for managing assets throughout their lifecycle.

Asset Management ensures that University property is properly tracked, safeguarded, and reported in accordance with California State University (CSU) policy and federal requirements.
Under CSU Executive Order 649, campuses are required to maintain systems of internal control to safeguard University property and ensure accountability. This responsibility is delegated through the Vice President for Administration and Finance/Chief Financial Officer and administered by Accounting.
Asset Management supports this responsibility by maintaining official asset records and ensuring that required processes are followed for acquiring, tracking, transferring, and disposing of University property.
University property that must be tracked includes:
- Equipment with an acquisition cost of $5,000 or greater and a useful life of more than one year
- Federally funded equipment, and
- Sensitive equipment, including:
- University Police firearms
- All vehicles
- Any device with memory or the capacity to store Level I or Level II data, including computers, laptops, tablets, iPads, networked printers, and copiers.
Departments are responsible for the custody, control, and accountability of University and auxiliary organization property under their purview, regardless of when the assets were acquired.
This includes:
- Safeguarding assets and ensuring they are used only for official University business
- Maintaining accurate information about asset location and custody
- Reporting asset changes and issues, including moves, transfers, disposals, and lost, stolen or damaged property
- Participating in inventory activities and verifying the existence, location, and condition of assets when requested
Certain asset types are managed by Information Technology Services (ITS) and follow a separate process.
This is limited to:
- Computers (desktops and laptops)
- Tablets
- Copiers and plotters

Asset updates are required whenever there is a change to University property, including physical location moves, transfers, or disposals.
Use the options below to determine the type of change and access the appropriate form.
Move an asset (location change)
Use this when an asset is staying within the same department but changing physical location (for example, moving to a different room or building).
Departments are responsible for notifying Asset Management when equipment is relocated.
Transfer an asset (change in department ownership)
Use this when an asset is being transferred between departments within the university.
Transfers to external organizations, including auxiliary organizations or other CSU campuses, should be submitted using the Disposal Form.
Asset Management will route the request for approval to the appropriate Delegation of Authority (DOA) on behalf of the requester.
Dispose of an asset
Use this when an asset is no longer needed, no longer functional, or is leaving the university or auxiliary organization.
This includes transfers to external organizations, such as auxiliary organizations, other CSU campuses, or external agencies.
Departments may not sell, transfer, or dispose of University or Auxiliary property without approval.
No. Departments should not trade, cannibalize, or dispose of University or auxiliary organization property independently.
All disposal requests must be submitted using the Disposal Form and are reviewed through the Property Survey Committee (PSC) process before any action is taken.
The PSC is the campus group designated to review and approve the disposition of University property. Asset Management coordinates this review and approval on behalf of the requester.
If an asset is lost, missing, or believed to be stolen, report the incident to University Police and complete the Property Loss Report.
