Academic Personnel Services (APS) maintains the one Personnel Action File (PAF) file for each faculty unit employee and abides by the CSU Records/Information Retention and Disposition Schedules for maintenance of those records.  If individual departments have a business need to maintain working files locally, those should be purged no less than annually.

Departments/Units with academic personnel records are responsible for retaining or purging documents in accordance with the annual schedule.  APS will make reports available during the Spring term each year to assist with records management. A certificate confirming compliance with this policy must be submitted by mid-July annually by each college/department unit.  Please contact APS at x5086 with any questions about academic personnel records policies.

Please note that if you have received a litigation hold notification, you must retain any records covered by that hold until further notice.
